Terms and Conditions
Terms and conditions regarding the withdrawals, refunds and transfers have changed significantly for the 2025 event. All participants agree to the terms and conditions when signing up for the event. Click on the links below for the full terms and conditions.

DEFERRALS
NO deferrals to the 2026 event will be offered.
We will honour existing deferrals from the 2024 event to the 2025 event. Deferred athletes from 2024 must use their entry for the 2025 event, and will be contacted via email with information about how to claim their entry. Existing deferrals are not eligible for refund, transfer, or further deferral.

Full terms and conditions – 2025
| INDIVIDUALS | |
| Transferring from Aquabike to B100 OR Individual to team | Where an athlete requests to transfer to a greater distance OR team, and space is available, the athlete is required to pay the difference in entry fees between the events. |
| Transferring from B100 to Aquabike | Where an athlete requests to transfer to a shorter distance and space is available, the difference in entry fees will not be refunded. |
| Transferring an individual entry to another person | Transfers to other people are allowed ONCE ONLY up to COB 16 April 2025 and will incur a $30 admin fee. Add ons do not transfer across. Transferring an entry forfeits the right to a refund. This must be arranged by emailing [email protected]. |
| TEAM CHANGES | |
| Team member changes | Team member slots can be transferred to other people as many times as needed to fill your team until 16 April 2025 via the registration platform. Each change will incur a $5 admin fee. Please email our Athlete Services Team (Event Matrix) via [email protected] or call 08 6285 8552. |
| Team captain changes | If your team needs to change the Captain, you must email [email protected]. Changes can be made until 16 April 2025. Team captain changes will incur a $30 administration fee which must be paid at the time of change. |
| Race weekend team changes | We may be able to facilitate team member role changes and swaps on race weekend, subject to availability. Please ensure an existing team member (preferably the team captain) and any new team members are in attendance. An admin fee of $30 will be charged at the time of change. Late team changes and swaps may only be done in person at pack pickup on Saturday afternoon (Saturday 3 May 2025). NO TEAM CHANGES will be permitted on race day (Sunday 4 May 2025). Full terms and conditions – 2025
| Transferring Individual entries to another Person | For all individual transfer requests, you must email [email protected]. The deadline for requests is COB 16 April 2025. Transfers will incur a $15 administration fee which must be paid at the time of change. |
| Transferring members in a team | Team member slots can be transferred to other people as many times as needed to fill your team until COB 16 April 2025 via the registration platform. – How to edit and change which legs your team are doing – How to transfer a team spot to another participant Each change will incur a $5 admin fee. |
| Team Captain Changes | If your team needs to change the Captain, you must email [email protected]. Changes can be made until COB 16 April 2025. Team captain changes will incur a $15 administration fee which must be paid at the time of change. |
Busselton Kids Triathlon
No transfers are permitted for the Kids Triathlon. Kids race entries are not transferable to another athlete.
REFUNDS
If you cannot participate in the event and you did not purchase Race Roster Refund Protection, entry fee refunds are available in accordance with the below stated timelines only. These timeline conditions apply to all requests received, regardless of circumstances. After the stipulated dates, all entry fees are non-refundable. Requests for refunds must be made in writing via email at [email protected]
Please allow up to 14 business days for your refund to be processed. The refund is automatically issued to the credit card originally used to pay for the registration. If this card has since been cancelled or has expired, please notify us when requesting the eligible refund.
REFUND OF ADD ONS
- KC Australia Merchandise: Can be refunded up to the Merchandise deadline of 21 March 2025. After this date, merchandise is non-refundable. Participants should contact KC Australia directly to cancel their orders.
- MiTime Inserts: Can be refunded up until the final refund deadline of 3 April 2025.
- Bossfoto Packs: Can be refunded up until the final refund deadline of 3 April 2025.
